Casual Client Support Advisor (Administrator/Receptionist)
Evolve Wellbeing Psychology is seeking an experienced and exceptional Client Support Advisor to join our busy, values-led psychology practice in Cleveland.
This is not an entry-level reception or client services role. We are looking for a highly capable administrator who has already worked at pace in a healthcare or allied health environment and who brings strong systems knowledge and a genuine commitment to outstanding client care.

Evolve Wellbeing Psychology is an established, independent psychology practice serving the Redlands, Ipswich and greater Brisbane region. Our clinic is calm, welcoming, and intentionally designed to feel safe and supportive for people across the lifespan. We work with children, adolescents, adults, families, and neurodivergent individuals, and our administrative team plays a critical role in shaping every client’s experience.

About the Role
As a Client Support Advisor, you will play a central role in the day-to-day running of the practice. You will work closely with the Client Support Lead and clinical team, while also providing guidance, and on-the-job training to junior client support staff where required.
This role suits someone who enjoys being busy, solving problems, improving systems, and delivering consistently high standards in a fast-paced healthcare environment.
Key Responsibilities
Client services and front-of-house experience, ensuring exceptional care from first contact through to follow-up
Advanced diary management and scheduling across multiple clinicians
Expert use of Zanda (formerly PowerDiary) for bookings, billing, reporting, and system workflows
Processing and managing payments, invoicing, and reconciliations across Medicare, NDIS, DVA, WorkCover, private billing, and third-party payers
Identifying inefficiencies and contributing to process and systems improvement across reception, billing, and client workflows
Confident troubleshooting of issues as they arise, including client concerns, system issues, and operational bottlenecks
Maintaining accurate records and ensuring compliance with practice policies and healthcare requirements
Working collaboratively with clinicians and management to support smooth clinic operations
Essential Requirements
Applicants must clearly demonstrate all of the following:
Significant experience in a reception or administrative role within a healthcare or allied health setting
Advanced, hands-on experience using Zanda (formerly PowerDiary)
Demonstrated involvement in process improvement or systems improvement
Genuine comfort working in a very busy, fast-paced environment
A proven track record of delivering exceptional customer care in a healthcare or allied health context
Advanced knowledge of payment and billing systems, including Medicare and other regulated funding streams such as NDIS, DVA, and WorkCover

Desirable Experience and Attributes
Previous experience working in a psychology practice
Living locally in the Redlands or surrounding area
Strong written and verbal communication skills
Confidence in identifying and resolving problems independently
Enjoyment of working with people across the lifespan
Strong alignment with values of inclusion, respect, and professionalism (including LGBTQIA+ inclusion)
A neuroaffirming approach and comfort working with neurodiverse staff, clients and families
